Part-time Student Services Assistant

This flexible part-time position supports both the Admissions Director and the Online Program Director. It is multifaceted, requiring strong organizational, interpersonal, and computer skills. It requires excellent attention to detail and the ability to manage competing priorities. We estimate this as 15 hours per week to begin, with the possibility of extending hours based on student enrollment. Experience with processing student applications preferred. 

Primary responsibilities include, but are not limited to, the following:

Program Support

1. Assist the Program Director with upkeep of student and class records in the Orbund database, including:

  • keep students contact information updated and log notes to students’ records 
  • upload student probation contracts for attendance, repeating classes, or academic misconduct; indicate which students are on probation
  • set up new terms and set up classes in Orbund based on class lists
  • transfer information to the program “master list” at the beginning of each term 
  • update students’ levels for RW and CS classes each term
  • add pass/repeat grades to Orbund for each student at end of term
  • add placement testing scores at the beginning of each term; transfer scores to spreadsheet
  • access Orbund to download transcripts for students and share with students and sponsors
  • upload “terms & conditions” and “online participation policy” forms into new student  records

2. Create various forms to support classes

  • Create biweekly forms for new students each term
  • Send continuation surveys through Google forms to students in week 3 of each term
  • Other forms as needed

3. Student support

  • create and send certificates to departing students who complete their  levels
  • create and send graduation certificates at the end of each term
  • send graduation e-cards to graduates
  • coordinate “Conversation Club”: send information to students who express  interest and answer questions, send links, check payment, enter information into Orbund
Enrollment Support

Assist the Admissions Director with upkeep of student records in the Orbund database, included but not limited to:

  • upload student immigration documents ( I-20s, passport, IDs etc)
  • upload student financial information (bank statements, letters of financial support, financial guarantees, affidavits)
  • upload documents and letters provided to student (acceptance letters, recommendation letters, etc)

Other duties as needed for program and admissions support may be assigned.
